Administrative Assistant

FLSA Status: Non-Exempt, Part-Time
Reports To: Executive Director

Provides office services by implementing administrative systems, procedures, policies and monitoring administrative projects while ensuring the efficient day-to-day operations of the office and supporting the work of management and other staff.  Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization.  Independent judgement is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.

Essential Duties & Responsibilities:

Administrative Support

This position is responsible for providing general administrative support as needed, including but not limited to: 

  • Help with day to day operations.
  • Serve as first point of contact for the organization. Check and respond or distribute emails sent to [email protected]
  • Receive applications to grant programs and keep track of submitted documents.
  • Prepare for Board of Directors meetings by printing agendas, minutes, and other documents.
  • Maintain organizational files and documents.
  • Maintain donor database and send immediate Thank You notes.
  • Perform general administrative support.

Special Events 

  • Coordinate Dreams33 tabling at community events 
  • Assist with scheduling of special meetings and events 
  • Assist with coordination of event logistics 

Communications 

  • Assist with print and electronic newsletters and topics
  • Coordinate website updates 
  • Ensure Social Media Presence 
  • Assist with donor communications, including appeal and thank you letters 
  • Coordinate bulk mailings 
  • Maintain organizational archives 

Take on additional tasks as directed by the Executive Director.

 

Measurement of Success:

  • Meets all deadlines as indicated by supervisor/manager
  • Anticipates problems and recommends a range of solutions
  • Tasks are accomplished carefully and thoroughly, with appropriate questions asked when necessary to ensure that the job is done correctly.

Qualifications:

  • Minimum two years related experience; nonprofit experience a plus. 
  • Experience working with vulnerable populations.
  • Proficiency with spreadsheets, databases, social media, publisher, Microsoft Office 
  • Ability to multi-task and prioritize in a dynamic work environment. 
  • Strong attention to detail and ability to work as a team member with minimal supervision. 
  • Solid written and oral communication skills and excellent phone manner. 
  • Ability to develop effective work plans, organizes details, set priorities, and meets deadlines.

Scholar Advocate

FLSA Status: Non-Exempt, Part-Time
Reports To: Program Manager

Summary:
The Scholar Advocate is responsible for administration of all matters related to students in the Dreams33 Program, including monitoring and intervention if required.

Essential Duties & Responsibilities:

  • Maintains contact with assigned students on a monthly basis
  • Track students’ grades, attendance, and behavior on a quarterly basis
  • Identify potential problems and intervene as necessary to ensure student success
  • Recruit, train and match mentors with students
  • Monitor mentor participation and communicate with them directly to resolve any issues
  • Work closely with guidance counselors at each school to ensure student success
